2. Purpose of personal data processing
We process your personal data for the purposes of managing customer relationships, delivering, maintaining as well as improving our services and products.
4.What information we may collect?
We may collect and process the following personal information: Basic information of the registered such as name, date of birth, personal identity number, customer number, username and / or other unique identifier, password, gender, mother tongue; registered contact information such as e-mail address, phone number, address information; company and company contact information (if applicable) such as business ID and contact persons, as well as contact information; any other data collected with the consent of the data subject. Order information, delivery information, billing and payment information for services ordered by a personal and corporate customer; other applicable business information.
Transaction data and customer data, which are created when a customer becomes a member of Homes in One System, is a party in a transaction or another contract related transaction by the above mentioned company, or otherwise specifically gives basic data to the company, for example, as part of campaigns organised by the company.
5. Regular information sources and legal basis for data processing
We will receive information from the following sources, in addition to the data provided by the registered himself/herself, the Population Register Centre, the authorities, contact information providers and other similar trusted entities.
Data is collected and processed under the following grounds:
* Contractual relationship or its preparation
* Statutory obligation
6. Right to check, correct and prohibit
The customer has the right to check what data concerning him or her is stored in the register. The request to check must be sent in writing and be signed, to the Controller’s contact address
Homes in One System Oy will reply to the requests in writing and will deliver or send either a copy of the requested data related to the customer or any other relevant information that Homes in One System Oy currently has about the customer. The Controller is entitled to charge a reasonable fee for additional copies requested by the customer.
If the customer is aware of errors, the customer can request that the Controller rectifies the error. The customer has the right to forbid the use of his or her information for direct marketing by notifying the Controller.
The customer has the right to request that information concerning him or her is deleted from the register. The request is to be addressed to the person responsible for the Controller’s register.
7. Data retention period
The data is processed for the duration of the customer relationship and five (5) years after the termination of the contractual relationship or completion of a transaction. After that the data is anonymised or deleted.
Data provided for marketing contacts is retained for thirty-six (36) months after the last contact. After that the data is anonymised or deleted.
8. Disclosure of personal data
Homes in One System does not disclose data to any third party, unless it is a legal obligation. Nevertheless, data may be disclosed when implementing a service by companies or when cooperation partners so require, or for matters related to recovery of claims. Personal data can be disclosed to the company's collaborating companies and suppliers in accordance with the consent of the data subject for use in their business activities in order to contact the person providing the information.
9. Transfer of data outside the EU or EEA
To the extent permitted by law, the data may be transferred to a server located outside of the EU or the European Economic Area (EEA) for storage and processing. As a rule, the transfer of personal data is based on the consent of the data subject, the EU-U.S. Privacy Shield or EU standard contract clauses.
10. Principles of registry protection
The server, where the member register information is stored is located in the EU territory. Only those employees who have the right to handle customer information are entitled to use the Personal Data System.
Personal data is retained as confidential. The information is protected by appropriate technical and organisational measures. The paper material is stored in a locked space. Electronic material is protected by technical measures and access to the systems is granted only to those persons for whom it is necessary for work or position purposes.
The employees of the Homes in One are bound by the obligation of professional secrecy. Staff are trained and instructed in the lawful processing of personal data.
